Fill a PDF Form with Pipedrive Data Using PDF.co and Zapier

5 Minutes Read

This tutorial shows how to generate a completed PDF form whenever a new deal is created in Pipedrive. Zapier retrieves the deal information and sends it to PDF.co to fill a PDF template.

Prerequisites

  • Pipedrive, Zapier, and PDF.co accounts
  • A fillable PDF template
  • A sample deal in Pipedrive

The PDF must contain interactive form fields. Adding text to a non-fillable PDF requires the PDF.co Add Text action instead.

Step 1: Create the Pipedrive Trigger

Create a new Zap and configure the trigger:

  1. Select Pipedrive.
  2. Choose New Deal.
  3. Connect your Pipedrive account.
  4. Test the trigger and select a sample deal.

The sample should include the deal and contact information you want to place in the PDF.

You can choose another Pipedrive trigger, such as Updated Deal Stage, if the PDF should be generated later in the sales process.

Step 2: Identify the PDF Form Fields

Use the PDF.co PDF Inspector to inspect the template and obtain its internal form field names.

These names may differ from the visible labels in the PDF and must be entered exactly.

Step 3: Add PDF.co PDF Filler

Add an action to the Zap:

  1. Select PDF.co.
  2. Choose PDF Filler.
  3. Sign in and authorize Zapier to access your PDF.co account.

Configure the action:

  • Source PDF: Enter the URL of the fillable PDF template.
  • Fillable Form Fields: Map the Pipedrive values to their corresponding PDF fields.
  • Output PDF Name: Enter a file name for the completed document.

Use the following format for each form field:

page;fieldName;value

Separate multiple fields with a pipe character:

0;DealName;[Pipedrive Deal Title]|0;ContactName;[Pipedrive Person Name]

Use Zapier’s field picker to replace the bracketed examples with values from the Pipedrive trigger. PDF page numbering starts at 0.

A personalized output name could be:

deal-[Pipedrive Deal ID].pdf

Step 4: Test the PDF

Test the PDF.co action and open the returned URL.

Confirm that:

  • The Pipedrive values appear in the correct fields.
  • The correct PDF template was used.
  • The output file name is suitable.

If a value appears in the wrong place or is missing, verify the internal field name with PDF Inspector.

Step 5: Publish the Zap

Publish the Zap after the test succeeds.

Whenever the selected Pipedrive event occurs, Zapier will send the deal data to PDF.co and generate a completed PDF form.

PDF.co output URLs are temporary. Add a cloud-storage or email action if the generated document must be retained or delivered automatically.

Conclusion

You now have a complete workflow that creates filled PDF forms from Pipedrive deal data. Additional Pipedrive fields can be included by adding their PDF field mappings to the PDF Filler action.

See the PDF.co PDF Filler documentation for supported field formats and options.
