Fill a PDF Form with Zendesk Ticket Data Using PDF.co and Zapier
In this tutorial we will show you how you can fill a fillable PDF form template with New Zendesk Ticket data using PDF.co. You can also simply add text, images and links to existing PDF by coordinates! Check out these tutorials:

To learn how to automatically populate a fillable PDF with information from a Zendesk ticket, please continue below. This example fills two fields with the requester’s name and email address.
Step 1: Prepare Your PDF Template
Use a PDF containing interactive form fields.
Open the template in PDF Inspector in your PDF.co account to find the exact field names. Upload the template to PDF.co’s built-in file storage or another location accessible to PDF.co, then copy its file link.
Step 2: Set Up the Zendesk Trigger
Create a Zap and select Zendesk → New Ticket.
Connect your Zendesk account and test the trigger with a sample ticket. Check that the returned data includes the requester’s name and email address.
If you want to process tickets from a specific view, use New Ticket in View and select the appropriate view, such as Unassigned tickets.
Step 3: Add PDF.co
Add PDF.co → PDF Filler.
Connect your PDF.co account using OAuth by signing in and authorizing Zapier.
Step 4: Map the Form Fields
Configure the action:
- Source PDF: Enter your template’s file link.
- Output PDF Name: Enter a name such as
ticket-summary.pdf. - Fillable Form Fields: Map the requester’s details using
page;fieldName;value, separating entries with|.
For two fields on the first page, the structure is:
0;RequesterName;[Requester Name]|0;RequesterEmail;[Requester Email]
Replace RequesterName and RequesterEmail with the exact names from your PDF. Replace the bracketed placeholders with mapped Zendesk values using Zapier’s field picker.
Page numbering starts at 0. Leave Text Annotations and Image Embeds blank for this example. See the PDF Filler documentation for field syntax.
Step 5: Test the Filled PDF
Test the action and open the returned url.
Confirm that the requester’s name and email appear in the correct fields and that the text fits within the form.
Step 6: Save the Result
Add Google Drive → Upload File, select a destination folder, and map the PDF.co output url to File.
Test the upload, then publish the Zap. Each matching Zendesk ticket will generate a completed PDF and save it to your selected folder.
In this tutorial we learned how to fetch the Zendesk’s New Ticket data and use that data to fill out a fillable PDF Form template using PDF.co’s PDF Filler.
