Replace Pages in a PDF Using PDF.co and Zapier

We will replace outdated pages in a PDF publication while keeping the document in the correct order. This example replaces pages 3–4 of a six-page PDF with a two-page replacement PDF.

Step 1: Set Up the Trigger

Create a Zap and select Google Drive → New File in Folder.

Connect your account and select the folder containing incoming publications. Test the trigger with your six-page sample PDF.

Store the replacement PDF separately and obtain a file link accessible to PDF.co.

Step 2: Delete the Outdated Pages

Add PDF.co → PDF Page Tools.

Connect your PDF.co account using OAuth by signing in and authorizing Zapier.

Configure:

  • PDF Source Link: Map File from Google Drive.
  • Mode: Select Delete Pages.
  • Page Numbers: Enter 3-4.

For Delete Pages, numbering starts at 1. Test the action and confirm that the output contains the original pages 1, 2, 5, and 6. See the PDF Page Tools documentation.

Step 3: Separate the Remaining Sections

Add PDF.co → Split PDF Into Multiple Files.

Configure:

  • Source PDF URL: Map the output url from the deletion step.
  • Page Numbers/Ranges: Enter 1-2,3-4.

These numbers refer to the shortened document. The first output contains the original pages 1–2; the second contains the original pages 5–6.

Step 4: Insert the Replacement Pages

Add PDF.co → PDF Merger.

In Source Files URLs, insert these links in order, separated by commas:

  1. The split step’s first output, url1.
  2. The replacement PDF’s file link.
  3. The split step’s second output, url2.

Set Automatically Convert Non-PDF Files to No and Output File Name to updated-publication.pdf.

Test the action. The resulting order should be original pages 1–2, replacement pages, then original pages 5–6. See the PDF Merger documentation.

Step 5: Save and Publish

Add Google Drive → Upload File and map the merger’s output url to File.

Save to a folder separate from the watched input folder. Test the upload, inspect the final page order, and publish the Zap.

This configuration applies the same replacement positions to each incoming publication. Adjust the deletion and split ranges for a different document structure.
