Password-Protect a PDF and Upload It to SharePoint using PDF.co & Zapier

In this tutorial, we’ll walk you through how to add password protection to a PDF file stored in SharePoint and upload it back to SharePoint.

Step 1: Set SharePoint Site Permissions to "Anyone"

Before setting up the automation, ensure your SharePoint site allows external file sharing:

  1. Open Microsoft Admin Center
  2. Click Show All → SharePoint → Active Sites
  3. Select your SharePoint site name
  4. Click Settings
  5. Set Privacy to Public
  6. Set External File Sharing to Anyone

Step 3: Create a Zap and Set "New File in Folder" as the Trigger

Step 7: Configure the Module

Fill in the following details:

  • Source File URL – Select the PDF file from SharePoint.
  • Add Security – Enable password protection for the file.
  • Owner Password – Set the owner password (for editing permissions).
  • User Password – Set the user password (for viewing and printing access).
  • File Name – Define the name for the protected PDF.
  • Additional Settings – Configure any other security options as needed.

Step 11: Publish the Zap to Automate the Workflow

  1. Test the Zap – Run a test to ensure everything is working as expected.
  2. Review the Workflow – Verify that the PDF is correctly password-protected and uploaded to SharePoint.
  3. Click "Publish" – Finalize the setup by publishing the Zap.
  4. Automation Starts – Once published, the workflow will run automatically whenever a new file is added to the designated SharePoint folder.
