Password-Protect a PDF and Upload It to SharePoint using PDF.co & Zapier

In this tutorial, we’ll walk you through how to add password protection to a PDF file stored in SharePoint and upload it back to SharePoint.
IN THIS TUTORIAL
Step 1: Set SharePoint Site Permissions to "Anyone"
Before setting up the automation, ensure your SharePoint site allows external file sharing:
- Open Microsoft Admin Center
- Click Show All → SharePoint → Active Sites
- Select your SharePoint site name
- Click Settings
- Set Privacy to Public
- Set External File Sharing to Anyone

Step 3: Create a Zap and Set "New File in Folder" as the Trigger

Step 4: Select the Site Name and Public Folder

Step 5: Test the Trigger and Select a Record to Continue

Step 6: Add the PDF.co Security Module

Step 7: Configure the Module
Fill in the following details:
- Source File URL – Select the PDF file from SharePoint.
- Add Security – Enable password protection for the file.
- Owner Password – Set the owner password (for editing permissions).
- User Password – Set the user password (for viewing and printing access).
- File Name – Define the name for the protected PDF.
- Additional Settings – Configure any other security options as needed.

Step 8: Test Module and Open the Output URL

Step 9: Add the SharePoint Upload a File Module

Step 10: Specify the Destination Folder and Upload the Protected File

Step 11: Publish the Zap to Automate the Workflow
- Test the Zap – Run a test to ensure everything is working as expected.
- Review the Workflow – Verify that the PDF is correctly password-protected and uploaded to SharePoint.
- Click "Publish" – Finalize the setup by publishing the Zap.
- Automation Starts – Once published, the workflow will run automatically whenever a new file is added to the designated SharePoint folder.
